Customer service representative phone screen questions

For a phone-based job, the phone screen is the audition. Clarity, tone, and how the candidate handles a hard question tell you most of what a first interview would.

Eight questions, and what to listen for

Ask them in this order. The first two sort the pool; the middle ones show judgment; the last ones settle logistics before anyone books an interview.

    Listen for: Setting, channel (phone, chat, email), volume, tenure.

    How would you handle a caller who is angry about something that was not your fault?

    Listen for: Acknowledge, stay calm, solve or escalate. Listen to the tone as much as the words.

    Have you used a CRM or ticketing system? Which ones?

    Listen for: Zendesk, Salesforce, HubSpot. Not required, but it shortens ramp.

    How comfortable are you following a script while still sounding natural?

    Listen for: Comfort with structure plus judgment.

    What is your typing speed, and do you have a quiet place to work if this role is remote?

    Listen for: A number and a yes for remote roles.

    Which shifts can you work, and are you flexible for evenings and weekends?

    Listen for: Match to coverage needs.

    Tell me about a time you went beyond the script to help someone.

    Listen for: Initiative within limits.

    When could you start, and how long is your notice period?

    Listen for: A date.

Red flags on the call

  • Hard to understand on the phone
  • Angry-caller answer that argues with the caller
  • No quiet workspace for a remote role
  • Cannot commit to the required shifts

Keep it short

Five questions, four to six minutes. Customer service representative candidates are usually applying to several jobs at once; a screen they can finish between shifts gets finished. Save the deeper questions for the interview, where the candidate has already answered these once.

Never ask about age, health, family, religion, or national origin, and do not follow up if a candidate volunteers them.
